RM of Vanscoy No. 345 Seeking an Assistant Administrator

The Rural Municipality of Vanscoy No. 345 is seeking a highly organized and detail-oriented Assistant Administrator to join our administrative team. Position Overview

Reporting directly to the Administrator, the Assistant Administrator plays a key role in supporting municipal operations. This position is responsible for a wide range of administrative duties, including council support, payroll and taxation functions, liaison with municipal service providers, and assistance with regulatory compliance.

Key Responsibilities

  • Council & Meeting Support
    • Prepare, distribute, and manage agendas, notices, and information packages for council meetings.
    • Attend council meetings and record minutes.
    • Review and manage delegation requests for council sessions.
  • Payroll & Financial Administration
    • Oversee payroll processing, including monthly payroll, remittances, T4/T4A slips, and Records of Employment.
    • Record and submit annual assessment change requests to SAMA.
    • Manage property tax roll updates and tax enforcement processes in compliance with legislation.
  • Regulatory & Program Coordination
    • Liaise with the RM’s Police Service, Bylaw Enforcement Officer, Pest Control Officer, Weed Inspector, and other municipal stakeholders.
    • Prepare and distribute appointment letters and submit reports for various municipal programs, including pest, weed, gopher, and beaver control initiatives.
  • Public Relations & Communication
    • Respond to inquiries from residents, government agencies, and other stakeholders.
    • Provide excellent customer service while maintaining a professional and approachable demeanor.
  • Professional Development
    • Attend relevant training, conventions, and webinars to stay current with municipal operations and legislation.
  • Other Duties
    • Assist with elections as Deputy Returning Officer.
    • Support the Administrator with projects and assignments as required.

Qualifications

  • Rural Class “C” certificate or willingness to obtain is preferred.
  • Post-secondary education in public administration, business administration, or a related field is an asset.
  • Strong knowledge of municipal legislation, bylaws, and policies is an asset.
  • Proficiency in Microsoft Office and general computer applications.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to handle confidential information with discretion.
